5.1.22 Illinois State University Alumni Services Alcohol Policy

Policy

On Campus

Alumni events held on University property must follow the established Illinois State University Policies and Procedures on use of alcohol.

Off Campus

Alumni Services and the Alumni Association Board of Directors support the position the University has taken with respect to creating an environment that reduces or eliminates the adverse consequences of alcohol misuse. Furthermore, the purpose of this policy is to minimize the opportunity for liability that the University, University staff, volunteers and/or the Alumni Association may encounter should an accident occur at an off campus alumni event. This policy was established to adhere to the University’s policy as well as to provide a framework for the sale and/or serving of alcohol at alumni events that are covered under the insurance protection provided for alumni events.

Alcohol can be served at events that are hosted, sponsored, and/or supported by Illinois State University Alumni Services and/or the Illinois State University Alumni Association provided the alcohol is served and/or sold by a caterer/restaurant (third party vendor) that is authorized and licensed to serve alcohol. Under no circumstances will “bring your own beer/alcohol” (BYOB) events be allowed.

Staff and volunteers must understand that the best protection against legal liabilities is to use care and discretion in planning events. The following considerations should be used when planning events:

  • Social activities at which the consumption of alcohol might be viewed as the primary activity should be avoided.
  • A facility should be able to provide proof of appropriate insurance.
  • Open (or host) bars should be carefully considered. If offered, the cost of alcoholic beverages must be included in the event fee; the only alcoholic beverages that may be served are beer and wine; the host bar must last no longer than two hours; and nonalcoholic beverages and food must also be included in the event fee.
  • If an instance should arise where a guest has consumed too much alcohol, staff and/or volunteers should notify the manager of the facility and ask them to handle the situation.
  • Events held on the property of the Illinois State University Foundation must follow their established policies.

If the group has any question about alcohol at an event, they should consult their staff representative in advance.
